Term Library

The Term Library answers questions about all your contracts at once, such as "which contracts need more than 90 days' notice?". Click a saved query, or type your own question.

When to use it

When Renewly reads a contract, it records its key terms: notice period, renewal date, end date, whether it renews on its own, value, currency and length. The Term Library lets you search those terms across every contract, instead of opening them one by one.

There are 12 saved queries, one click each:

  • Notice windows over 60 days
  • Notice windows over 90 days
  • Auto-renewing contracts over 10,000 a year
  • Renewing in the next 90 days
  • Urgent: renewing in the next 30 days
  • High-value renewals in the next 60 days (25,000 a year or more)
  • Multi-year contracts (24 months or longer)
  • Top spend: contracts over 50,000 a year
  • Auto-renewing with under 30 days notice
  • Expired in the last 30 days
  • Missing a renewal date, so you can fill the gap
  • All extracted contracts, a useful starting point for an export

Amounts are compared in each contract's own currency. Renewly never converts between currencies, so "over 10,000" means 10,000 pounds for a contract in pounds and 10,000 dollars for one in dollars.

Prebuilt queries

  1. Open Term Library from the main menu.
  2. Under Saved queries, click the one you want.
  3. Renewly lists every matching contract with its supplier, value, renewal date and notice period. Click any row to open the contract.
Only your real, reviewed contracts
Example contracts are always left out, so the answers cover your real contracts only. Contracts you have not reviewed yet are left out too, so an unchecked detail is never given as an answer.

Natural-language questions

Under Ask in plain English, type a question and click Search. For example:

  • "auto-renewing high value contracts"
  • "contracts renewing in the next 30 days over 50,000 a year"
  • "contracts with notice windows of 60 days or more"

Renewly turns your question into a search on the terms listed below. It can only search those terms, so a question about anything else will not work. If Renewly cannot understand a question, it asks you to rephrase it or pick a saved query.

Question search is not available in every workspace or region. If it is unavailable, Renewly tells you, and the saved queries still work.

What you can filter on

The Term Library only searches terms that Renewly reliably finds in contracts. These are:

  • Auto-renews: whether the contract renews on its own.
  • Notice period: how many days' notice you must give to cancel.
  • Term: how long the contract lasts, in months.
  • Value: the contract's yearly value, in its own currency. A monthly contract counts as twelve months. Usage-priced contracts and contracts with no known billing period have no yearly value, so a value search never includes them.
  • Currency
  • Renewal date: when the contract next renews.
  • End date: when the contract ends.
  • Status: whether Renewly has finished reading the contract.
Clause searches are not available yet
Other clauses, such as liability caps, audit rights and exit fees, appear in the risk section of each contract page. You cannot search for them across all contracts in the Term Library.

Working with results

Each row is one contract. Click it to open the contract, where you can check the details, change tags or edit dates, renewal terms and financial details. To save the results, click Export CSV above the list. This downloads a spreadsheet file of exactly the contracts shown. If the list is long, Renewly shows the first part of it and the button says how many rows it will export.

Who can access

Everyone with a Renewly account can use the Term Library. It searches the workspace you are in: in a team workspace, the contracts you can see there; in a personal workspace, your own contracts.
